Duties and Responsibilities

A. Recruitment & Selection

  • Assist in preparing job descriptions and vacancy announcements.
  • Coordinate the recruitment process including longlisting, scheduling interviews, and communicating with candidates.
  • Ensure recruitment follows organizational and donor compliance standards.
  • Verify references and prepare hiring documents.


B. Onboarding & Orientation

  • Prepare employment contracts and onboarding packages.
  • Conduct orientation sessions for new staff.
  • Ensure all new employees understand HR policies, code of conduct, and safeguarding procedures.


C. HR Administration & Personnel Files

  • Maintain updated personnel files and ensure confidentiality.
  • Ensure all HR documentation is complete, accurate, and compliant with internal and external requirements.
  • Track employee data such as contract timelines, probation periods, and performance review deadlines.


D. Leave & Attendance Management

  • Monitor attendance sheets and verify leave balances.
  • Ensure compliance with the internal leave policy.
  • Prepare monthly HR reports and leave summaries.


E. Payroll Support

  • Collect and verify monthly attendance and approved leave for payroll processing.
  • Support the HR Manager in preparing payroll documents.


F. Staff Relations & Communication

  • Provide HR guidance to employees on policies and procedures.
  • Support in addressing employee concerns professionally and confidentially.
  • Promote a positive, respectful working environment.


G. Compliance & Safeguarding

  • Ensure adherence to HR policies, code of conduct, PSEA, child safeguarding, and anti-harassment guidelines.
  • Report any violations according to established procedures.


H. Performance Management Support

  • Assist in coordinating annual and mid-year performance evaluations.
  • Follow up with managers to ensure timely completion of performance reviews.


I. Other Responsibilities

  • Support HR audits and donor reviews.
  • Contribute to HR system improvements and process development.
  • Carry out any additional tasks assigned by the HR Manager.


3. Required Qualifications & Experience

  • Bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
  • Minimum 4 years of HR experience, preferably in NGOs or humanitarian organizations.
  • Good knowledge of labor laws and HR best practices.
  • Strong administrative and organizational skills.
  • Excellent communication skills in Arabic and English (written and spoken).
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Proficiency in MS Office (Word, Excel, Outlook).
