Job purpose: The Storekeeper is responsible for the day-to-day custody, receipt, safe storage, stock control, and release of WFP food and other project commodities at the assigned distribution center. The role maintains accurate stock and movement records, applies FIFO/FEFO and commodity handling standards, and ensures that only authorized quantities are issued for distribution. The position performs daily reconciliation, reports losses or discrepancies immediately, and maintains the center in line with WVI, WFP, donor, safety, safeguarding, and accountability requirements.
Major Responsibilities
1. Commodity Receipt and Inspection:
• Receive commodities transferred from WVI warehouses, WFP, suppliers, or transporters against approved waybills and delivery documents.
• Count, weigh, and inspect commodities for quantity, packaging condition, infestation, damage, contamination, and expiry concerns.
• Record accepted quantities and clearly document shortages, excesses, damages, or other discrepancies before signing receipt documents.
• Immediately notify the line manager of discrepancies and retain supporting evidence and documents.
• Ensure commodities are safely offloaded, stacked, and segregated by type, batch, and condition.
2. Stock Custody and Inventory Control:
• Maintain accurate bin cards, stock cards, ledgers, and approved electronic trackers for every commodity movement.
• Keep physical stock and records synchronized and complete daily, weekly, and monthly stock reconciliations as required.
• Apply FIFO and FEFO principles and monitor expiry dates, shelf life, damaged stock, and commodity condition.
• Conduct routine physical counts and support spot checks, joint inventories, monitoring visits, and audits.
• Prevent unauthorized access, mixing, misuse, loss, or diversion of commodities and keep keys and storage areas secure.
• Maintain full traceability from receipt through issue and return.
3. Release for Distribution and Returns:
• Release commodities only against approved distribution plans, release orders, waybills, or other authorized documents.
• Prepare, count, stage, and hand over the correct commodities and quantities to authorized distribution staff.
• Record all issues, returns, re-bagging, and balance adjustments immediately in the relevant records.
• Reconcile commodities issued, distributed, returned, damaged, or remaining at the end of each distribution day.
• Ensure no commodity leaves the center without complete authorization and documentation.
4. Documentation and Reporting:
• Maintain an organized, complete, and audit-ready filing system for waybills, goods received notes, release documents, tally sheets, loss reports, and stock records.
• Prepare and submit daily movement, distribution-day reconciliation, and periodic stock reports to the line manager.
• Report shortages, losses, suspected diversion, damage, infestation, near-expiry stock, safety hazards, and unauthorized access immediately.
• Support preparation of loss or adjustment documentation, without making unauthorized stock adjustments.
• Provide accurate information during WVI/WFP monitoring, verification, and audit visits.
5. Storage, Center Organization, and Commodity Care:
• Maintain proper stacking with pallets, safe stack heights, adequate spacing, clear aisles, and visible commodity identification.
• Keep the storage and distribution areas clean, dry, ventilated, and protected from pests, moisture, fire, and contamination.
• Segregate damaged, expired, returned, quarantined, or non-food items from usable commodities.
• Monitor storage conditions and support cleaning, pest-control, fumigation, and maintenance activities.
• Ensure exits, firefighting equipment, and access routes remain unobstructed.
6. Safety, Conduct, and Operational Support:
• Follow WVI and WFP procedures, occupational health and safety requirements.
• Use personal protective equipment and handling tools correctly and report unsafe conditions or damaged equipment.
• Support orderly commodity movement during distributions while maintaining clear separation between storage and beneficiary flow areas.
• Perform other related duties assigned by the line manager within the scope of the role.
Knowledge/Qualifications for the Role
1. Required Professional Experience
• Minimum 2 years of relevant experience in storekeeping, warehouse operations, inventory control, commodity management, or humanitarian distributions. Previous experience with an NGO, UN agency, or WFP-funded project is preferred.
2. Required Education, training, license, registration, and certification:
• Secondary school certificate is required. A diploma or bachelor's degree in logistics, supply chain management, business administration, accounting, or a related field is preferred. Relevant warehouse, food-handling, first-aid, or fire-safety training is an advantage.
3. Preferred Knowledge and Qualifications
• Knowledge of stock control, bin cards, waybills, goods received notes, release documentation, and physical inventory procedures.
• Understanding of FIFO/FEFO, food commodity handling, loss prevention, and basic warehouse safety.
• Basic Microsoft Excel and Word skills and ability to maintain accurate manual and electronic records.
• Strong numeracy, attention to detail, integrity, accountability, and ability to work under pressure.
• Ability to communicate effectively and work with logistics, program, MEAL, security, transporters, and distribution teams.
• Knowledge of humanitarian principles and WFP commodity-accountability requirements is an advantage.
4. Travel and/or Work Environment Requirement

5. Physical Requirements:
• Ability to stand for extended periods and safely lift, carry, and move commodities using appropriate handling methods and equipment.
6. Language Requirements
• Fluent Arabic. Basic working English and ability to understand standard logistics documents are preferred.
