Position Summary

The Business Development and Reporting Coordinator (BDRC) supports the organization Syria’s resource mobilization and donor engagement efforts by coordinating proposal development, reporting processes, and handover of approved grants to implementing teams. The BDRC is a central pillar in the organization Syria's internal coordination and has a critical role in grant management functions, together with finances and the program team. Working under the supervision of the Business Development and Reporting Manager (BDRM), the BDRC ensures the timely delivery of high-quality donor submissions, effective design and internal coordination. The role plays a key part in maintaining donor and the organization members trust as well as in strengthening the organization’s financial sustainability, reputation and program.

This role requires strong coordination and organizational skills, excellent writing and editing abilities, and the capacity to build and maintain positive, productive relationships across teams and departments. The ideal candidate will thrive under pressure, delivering high-quality outputs within tight and shifting deadlines. S/he will demonstrate initiative, creativity, and a collaborative spirit — able to troubleshoot challenges in proposal development or reporting, foster positive teamwork, and contribute to a culture of learning and excellence that strengthens the organization’s Syria’s program and credibility with donors.

The employee is also required to;

1. Remain aware of and comply with safety and security regulations/procedures and bear responsibility for personal safety and security while under contract.

2. Comply with the organization Policies which includes but not limited to Safeguarding Policy, Code of Conduct and other organizational and HR policies.

4. Depending on specific role and responsibilities, may be requested to comply with the terms of additional policies, guidelines and related regulations, as and when necessary.

Key Responsibilities

1. Proposal Development and Coordination: 35%

In order to expand and diversify the organization’s funding base and support the organization in ensuring it responds to humanitarian needs and advances its strategic priorities:

  • Support the design and preparation of high-quality proposals in collaboration with program, MEAL, finance, technical teams, safeguarding, the organization members, and when appropriate partners.
  • Develop and maintain proposal development timelines, templates, and markers.
  • Arrange project design meetings and ensure the promotion of quality and coherent programs in line with the organization Syria's strategy.
  • Ensure all proposal components (narrative, logframe, budget) are reviewed and formatted according to donor guidelines.
  • Coordinate internal inputs, reviews, and sign-offs before submission, ensuring quality improvements.
  • Where necessary, support carrying out competitors analysis, SWOTs, and identification of Unique Selling Point for new opportunities.
  • Maintain positive, productive, and strong relations with the organization members during proposal development.

2. Donor Reporting and Donor Relationship Support: 30%

Ensure the organization Syria’s Business Development efforts are sustained by keeping the donor informed on project progress and proper grant management:

  • Track donor reporting deadlines and ensure timely submission of accurate reports.
  • Liaise with program, MEAL teams, and if necessary partners, to compile data, success stories, and lessons learned.
  • Review reports for compliance with donor templates, language, and branding requirements.
  • Flag to manager variances to project approved, as identified in reporting or BvA meetings.
  • In case of variances, in coordination with the BDRM, support the program team and organization member in identifying solutions during implementation that can be satisfactory for the donor.
  • If requested, support the preparation of the organization members or donor visits to active projects, and collect lessons learnt for future programming.

3. Internal Coordination and Grant Kick-Offs: 15%

Ensure the program and support teams have the information necessary to start the grant implementation:

  • Organize and document grant kick-off meetings to ensure roles, deliverables, and donor requirements are clear.
  • Participate in regular Budget Versus Actual (BVA) meetings with program and finance teams to identify variances that should be flagged to the donor or could harm the organization’s reputation or future grants.
  • Facilitate effective communication between departments to resolve design and implementation issues affecting fundraising or donor relations.

4. Filing, Documentation, and Information Management: 15%

  • Maintain an organized and up-to-date filing system for proposals, contracts, reports, and donor correspondence.
  • Ensure key grant documents are accessible to relevant staff.
  • Support preparation of briefing materials and summaries for leadership or donor meetings.
  • Support the preparation of donor materials as requested by manager.
  • Maintain an updated program and reporting tracker.

5. OTHER RESPONSIBILITIES AS ASSIGNED 5 %

Required Qualification, Skills and Experience

  • Bachelor’s degree in a relevant field (Social Sciences, Development Studies, Public Administration, Business Administration, or related field) or equivalent combination of education and work experience.
  • At least 3 years of professional experience in proposal development
  • At least 2 years of experience in donor reporting
  • Experience in multi-sectoral program coordination in the humanitarian or development sector.
  • Strong writing and editing skills with attention to detail and accuracy.
  • Critical spirit and ability to anticipate donor questions and address those prior to submission.
  • Proven experience coordinating accoss departments (i.e. programs, finance, MEAL, etc) to gather inputs.
  • Excellent English skills (writing and oral).
  • Excellent organizational and time management skills. Ability to meet tight deadlines and manage multiple priorities, keeping a positive attitude.
  • Proficiency in Microsoft Office and familiarity with digital filing and knowledge management systems.

Desired:

  • Master’s degree in Social Sciences, Development Studies, Humanitarian Affairs, or related fields.
  • Certification or training in proposal development, PSEA, safeguarding.
  • Relevant emergency management training (e.g., HEAT).
  • Experience working with international humanitarian organizations.
  • Experience working in the Syria crisis response or other complex humanitarian contexts.
  • Proven track record of successful proposal development for institutional donors (e.g., OCHA, ECHO, GFFO).
  • Understanding of donor regulations.
  • Arabic fluency
  • Familiarity with cross-cutting themes (i.e gender equality, climate resilience, safeguarding).
  • Experience coordinating grant kick-off or close-out meetings.
  • Basic skills in data analysis or visualization (Power BI, Excel dashboards, etc.).
  • Emotional intelligence to effectively work with other team members in a fruitful and positive manner.
