RESPONSIBILITIES:
Prepare, send, and follow up on official correspondence with ministries, governmental entities, and other relevant authorities.
Maintain accurate and up-to-date records of legal documents, approvals, licenses, and registrations, ensuring timely filing and archiving.
Support the Finance Department on legal-related matters, especially those requiring official documentation or approvals.
Coordinate with the organization’s lawyer regarding legal procedures, contracts, and registration requirements.
Regularly visit the Directorate of Social Affairs, relevant ministries, and other institutions to submit documents, obtain approvals, and ensure compliance with legal requirements.
Facilitate and monitor the organization’s legal registration process and renewal of permits as required.
Ensure confidentiality and proper handling of all official and legal documents.
Provide administrative assistance to the management team as needed, including scheduling, organizing files, and supporting internal communication.
Stay updated on new laws, regulations, and government directives that may affect the organization, and advise management accordingly.
Ensure that internal policies and procedures align with local legal requirements and donor regulations.
Assist in reviewing contracts and agreements to ensure compliance with legal standards and organizational policies.
Prepare periodic reports on legal compliance status for management and donors.
Ensure all official documents submitted to authorities are accurate and complete.
QUALIFICATIONS:
BS degree in Business or any relevant education.
At least 2 years of relevant experience in Humanitarian aid projects and complicated contexts.
Proven working experience as Compliance Officer or any legal or similar roles.
Advanced computer skills on MS Office, accounting software, and databases.
Ability to manipulate large amounts of data and to compile detailed reports.
Reasonable knowledge of auditing standards and procedures, laws, rules, and regulations.
High attention to detail and excellent analytical skills.
Sound independent judgment.
Experience in operations supports role, with analysis and/or interpretation of budgets and grants preferred.
Experience working with local/international nonprofit preferred.
Excellent analytical skills and ability to solve problems are required; the ability to communicate financial information to non-financial staff is also required.
Intermediate writing and verbal communication skills in English.
Willingness to work in a location different from that stated in the contract.
Willingness to work for extra hours as necessary.
